Reservations

Hotel accommodation can be reserved at one of the three hotels located at Birchwood Hotel & Conference Centre including the Holiday Inn Johannesburg Airport through the intermediary of Turners Conferences who have secured preferred rates for participants. All hotel accommodation rates quoted on the hotel booking form are in South African Rands and are per room and per night, breakfast and service taxes included. The hotel category should be indicated on the hotel booking form. Please also indicate which other category we should book in case the chosen one is fully booked. The Holiday Inn Johannesburg Airport is within short driving distance of the Birchwood Conference Centre.

Confirmation of Hotel Reservation

All hotel reservations will be confirmed to you in writing with the name of the hotel, the type of accommodation booked, the arrival and departure dates, the rate, and the deposit required. This will be accompanied by an invoice and request for payment.

Payments

Full payment is required to secure the hotel booking. Payments may be paid either by bank transfer or through a secure 3D credit card payment portal. Full details appear on the booking form.

For all group bookings (10 rooms or more), 50% deposit to be paid within 14 days of first invoice, the outstanding 50% deposit to be settled thirty (30) days prior to the start of the Congress.

Changes and Cancellations

Cancellations must be submitted to Turners Conferences in writing. You may cancel your reservation up to 30^th June 2019 with a full refund of your deposit paid less an administration fee of ZAR 230.

Reservations cancelled after the 30^th June 2019 will attract the following cancellation penalties:

1. 59 – 31 Days – 50% Cancellation fees may apply
2. 30 – 0 Days – 100% Cancellation fees will apply

An amendment fee of ZAR 230 applies to all changes made to confirmed reservations after the 15^th August 2019.

Should you reduce the length of your stay upon arrival at the hotel, the hotel reserves the right to charge cancellation fees for the nights that you will no longer be using.

Hotels & Rates

Hotel accommodation has been contracted on behalf of the conference preferential rates have been negotiated.  Rates include breakfast, VAT at 15% and Tourism Levy of 1%.
